Some things to check when reading the fine print of insurance policies

Responsibilities of organisations

  • If volunteers are working on the ground, clarify the land tenure and who needs to take responsibility for providing the insurance (private land, council land, state agency land, Crown, national parks).
  • If your organisation is not the land manager, get confirmation in writing as to who will provide the insurance before volunteers start work.
  • As insurance costs and paperwork requirements can be high for small incorporated volunteer groups, a number of groups in the same area or region may merge into one incorporated body in order to share the costs and responsibilities.

Wording and coverage of policies

  • Check whether the terms "volunteers", "voluntary workers" or "people working on behalf of (the organisation)" are actually written in the insurance policies.
  • Check the ages of people covered - people under and over certain ages may be subject to reduced cover or excluded altogether (the age range is commonly around 15-90 years).
  • There are usually "exclusions" for personal accident insurance - check exactly what injuries and the amount of medical expenses the policy covers.
  • The "gap" in medical expenses is not normally covered by an insurance policy - check whether the "gap" is covered by your organisation.
  • Check the level of cover for loss of income if injured while volunteering.
  • Check if the cover includes expenses incurred as a result of stress.
  • One volunteer can cause injury to another volunteer - check whether member to member liability is included.
  • Check whether certain activities are excluded from the policy such as using power tools or working on particular terrains.
  • Check if the volunteers will be covered during their journey to and from work? In what way?
  • Will volunteers be permitted to use their own cars when their work involves transporting others or carrying out any other volunteer work for the organisation?
  • Will loss of no claim bonus and cost of 'excess' on personal car insurance be paid in the event of damage to the volunteer's car?
  • Will allowance be made for loss or damage to the volunteer's personal property?
  • Check whether the activities specified in the insurance policy match activities in the Volunteer Job Descriptions See Recruitment (Volunteer job descriptions)

Thought

If children under a certain age are excluded from an insurance policy, what will your organisation's policy be about children coming to work days with a parent/ guardian?
