Financial resources: The budget

Here is an indication of the resources that may be needed and how your budget can be spent:

  • Paid staff salaries: co-ordinating the program, supervising volunteers, technical advice and training for volunteers, monitoring and evaluation of volunteer involvement and work done on the ground, initiatives to acknowledge and keep volunteers motivated
  • External training and conferences for volunteers and paid staff
  • In-house training for volunteers and paid staff: guest speakers, venue hire and catering
  • Support from professional contractors
  • Administrative equipment: computer, phone, fax, printer (unless you work for an organisation that has already provided these)
  • Field equipment and tools
  • Safety/ personal protective equipment for paid staff and volunteers: gloves, goggles, face masks, first aid kits
  • Materials: plants, mulch, herbicide, logs, stakes and sleeves, weed matting, fencing and signs
  • Rubbish removal
  • Printing: brochures, newsletters, photographs and signage
  • Promotion: graphic design, letter box dropping (paying someone for this service), newspaper advertisements and banners
  • Volunteer recognition functions: end of year party, social functions, awards, gifts
  • Out of pocket expenses for volunteers and paid staff: petrol allowance, photo developing, coffee, tea and biscuits for volunteer work days

Tips

  • Be realistic about how far the budget can go. Could you provide the same resources if the number of volunteers doubled?
  • To improve the chances of continuous or increased funding for your program give regular reports and presentations to the community, the management and elected representatives Councillors, Members of Parliament and Trustees) about the successes of your environmental program and how the budget is being spent.
  • Invite senior managers and elected representatives to volunteer recognition events.
